2. The Data We Collect

  • Account & Booking Data (Couples): name, email, phone, wedding date, order details, payment status (no full card numbers stored by us).
  • Filmer Contact Data: names, mobile numbers, emails provided by the couple to enable guidance and uploads.
  • Content: uploaded videos/photos, captions, and revision notes.
  • Technical Data: IP address, device/browser info, logs, and cookies (see Cookies).
  • Comms Data: emails/SMS we send and your interactions (opens, clicks, replies like STOP).

3. How We Get Data

  • Directly from you when you book, contact us, or upload content.
  • From the couple, who provide Filmer contact details solely for creating the couple’s wedding video.
  • Automatically via cookies/analytics when you use our site.

4. How We Use Data

  • Provide the service: guidance, collecting uploads, editing, delivery, and support.
  • Service communications: SMS/email to Filmers with filming tips, reminders, and secure upload links.
  • Operations: troubleshooting, analytics, preventing abuse/fraud, and improving our tools.
  • Marketing: only with your consent or as otherwise permitted (never marketing to Filmers unless they independently opt in).

5. Lawful Bases (UK GDPR)

  • Contract: to perform our agreement with the couple/customer.
  • Legitimate interests: to coordinate filming and collect uploads from Filmers in a minimal, expected way; to secure and improve our services. We balance these interests with your rights.
  • Consent: for optional marketing or where the law requires it. You can withdraw consent at any time.
  • Legal obligations: record-keeping and compliance.

6. SMS & Email to Filmers

We send a small number of SMS/emails to Filmers on behalf of the couple to provide filming guidance and an upload link.

  • Source of details: provided by the couple for the purpose of creating their wedding video.
  • Contents: guidance, reminders, secure upload portal links; no marketing.
  • Opt-out: reply STOP to SMS at any time. For email, use the unsubscribe link or contact us.
  • Frequency: limited to what’s necessary around the wedding and editing stages.
  • Charges: we do not charge; your network’s standard rates may apply.

7. Sharing Your Data

We use trusted processors to run our service. They only process data under our instructions.

  • Hosting & storage (e.g., cloud hosting/CDN) for site, uploads, and delivery.
  • Comms providers (e.g., email and SMS—such as D7 Networks—for sending notifications).
  • Analytics & security to maintain and improve performance and detect abuse.
  • Payments (card processing) — your card details are handled by the payment provider.
  • Legal/Compliance where required by law or to protect our rights/users.

We don’t sell personal data.

8. International Transfers

Your data may be processed outside the UK/EEA. Where this happens, we use appropriate safeguards (e.g., UK IDTA/EU SCCs, or adequacy decisions) and require equivalent protection.

9. Retention

  • Comments: retained indefinitely to recognise follow-ups and prevent spam.
  • Accounts/Orders: kept for the life of the account plus a reasonable period for support, tax, and legal requirements.
  • Filmer contacts & comms logs: kept only as long as needed to coordinate uploads and complete editing/delivery, then minimised or deleted unless needed for legal/compliance.
  • Uploads/Project files: kept for the editing process and a reasonable backup period; large raw media may be purged periodically to manage storage.

10. Your Rights (UK GDPR)

You have rights to access, rectify, erase, restrict or object to processing, and data portability. For marketing based on consent, you can withdraw consent anytime. To exercise rights, email privacy@filmedonphones.com. You can also complain to the UK ICO: ico.org.uk.

11. Cookies

We use cookies and similar technologies for site functionality, preferences, analytics, and security.

  • If you leave a comment, you may opt to save your details in cookies for convenience.
  • We set temporary/login/display-option cookies when you sign in or edit content.
  • See our cookie banner or settings for categories and controls; you can disable non-essential cookies.

12. Comments & Embedded Content

  • When visitors leave comments, we collect the data shown in the form, the IP address, and browser user agent to help spam detection.
  • An anonymised hash of your email may be provided to Gravatar to check if you use it (see Automattic’s policy). After approval, your profile picture is public with your comment.
  • Articles may include embedded content (e.g., videos, images). Embedded content from other sites behaves as if you visited that site and may set cookies or track you in line with their policies.
  • If you upload images, avoid including embedded location data (EXIF GPS) as visitors can extract it.

13. Security

We use administrative, technical, and organisational measures appropriate to the risks of processing (e.g., access controls, encryption in transit, role-based access, and regular backups). No method is 100% secure.

14. Children

Our services are arranged by adults. We do not knowingly collect personal data from children without appropriate consent and purpose limitation related to the couple’s wedding video.

15. Data for Password Resets

If you request a password reset, your IP address may be included in the reset email to prevent abuse.

16. Where Your Data Is Sent

Visitor comments may be checked through an automated spam detection service.

17. Changes to This Policy

We may update this policy from time to time. We’ll post the new version here and update the date above. Your continued use of our services means you accept the updated policy.
